1. General Provisions

1.1. This Privacy Policy describes the procedures for collection, use, storage, protection, and disclosure of personal data of website users, members of the Association, and certified specialists of the International Association of Transformational Game Practitioners (“IATGP”, the “Association”).

1.2. By using the IATGP website and/or providing personal data, the user confirms consent to the processing of personal data where such consent is required, or acknowledges that processing is carried out on another lawful basis, including performance of contractual obligations and compliance with applicable laws.

1.3. The Association processes personal data in accordance with the laws of Canada, including the Personal Information Protection and Electronic Documents Act (PIPEDA), and taking into account applicable international data protection standards, including the General Data Protection Regulation (GDPR) of the European Union, where applicable.

 

2. Information Collected

The Association may collect and process the following categories of personal data:

  • Identification data: first and last name, country of residence, Practitioner ID Certificate number;
     

  • Contact data: email address, telephone number, mailing address;
     

  • Payment information: processed through secure payment systems (such as Stripe, PayPal, Square, or similar services). The Association does not store or have access to full bank card details;
     

  • Professional data: education, qualifications, certification and membership status;
     

  • Technical data: IP address, device type, browser information, cookies and similar technologies.
     

Personal data may be collected when:

  • completing forms on the Association’s website;
     

  • registering, paying membership fees, and participating in programs;
     

  • subscribing to newsletters and submitting inquiries or feedback;
     

  • using the Association’s website and online platforms.
     

 

3. Purposes of Processing

Personal data is processed by the Association for the following purposes:

3.1. administration of membership and certification processes;

3.2. verification of professional qualifications and maintenance of Practitioner ID Certificate registries;

3.3. management of access to programs, courses, events, and internal Association resources;

3.4. informational, educational, and professional communication;

3.5. internal administration, accounting, reporting, and compliance with applicable legal requirements.

3.6. Public Disclosure of Professional Information

3.6.1. Within the above purposes, the Association may publicly disclose a limited scope of professional information regarding members of the Association and certified specialists, including first and last name, professional status, membership level, certification status, country and city of professional activity, on the Association’s official website, in public registers, directories, and professional listings.

3.6.2. Such public disclosure shall be carried out exclusively on the basis of the data subject’s explicit consent, provided in accordance with the Membership Agreement and other contractual documents of the Association.

 

4. Data Retention and Protection

4.1. Personal data is retained for the period necessary to achieve the purposes of processing and, as a general rule, for no longer than three (3) years after termination of membership or completion of certification, unless a longer retention period is required by applicable law.

4.2. Access to personal data is restricted to authorized representatives of the Association who have undertaken confidentiality obligations.

4.3. Personal data is stored on secure servers located in Canada and/or in jurisdictions providing a comparable level of personal data protection.

 

5. Disclosure to Third Parties

5.1. The Association does not sell or disclose personal data to third parties, except in the following cases:

  • when required by lawful requests of competent public authorities;
     

  • to contractors and service providers providing technical, payment, communication, or infrastructure support, subject to confidentiality agreements;
     

  • to payment service providers (such as Stripe, PayPal, Square, or similar), without transmission of bank card details.
     

5.2. Cross-border transfer of personal data is carried out only where appropriate safeguards are in place in accordance with PIPEDA and applicable international data protection standards.

 

6. Cookies and Analytics

6.1. The IATGP website uses cookies and similar technologies to ensure proper website functionality, conduct analytics, and improve user experience.

6.2. The use of analytics tools is based on the user’s explicit consent (opt-in), where such consent is required by applicable law.

6.3. Users may disable cookies through their browser settings; however, some website functions may be limited or unavailable as a result.

6.4. The Association may use web analytics services (including Google Analytics, Meta Pixel, or similar tools) with the application of data anonymization techniques.

 

7. User Rights

Users have the right to:

  • request information regarding their personal data and the purposes of processing;
     

  • request correction, updating, or clarification of inaccurate data;
     

  • withdraw consent to the processing of personal data, where applicable;
     

  • request deletion of personal data when it is no longer required and where permitted by law;
     

  • withdraw consent to the public disclosure of their personal data in accordance with the Membership Agreement and this Privacy Policy;
     

  • file a complaint with the Office of the Privacy Commissioner of Canada.

8. Data of Members and Certified Specialists

8.1. Personal data of members of the Association and certified specialists is processed for purposes of certification, maintenance of registries, professional identification, and communication.

8.2. After termination of membership or completion of certification, personal data may be retained in archival form, as a general rule, for up to three (3) years, for reporting and legal compliance purposes.

 

9. Policy Amendments

9.1. The Association reserves the right to amend or update this Privacy Policy.

9.2. The current version of the Privacy Policy is published on the Association’s official website and shall take effect upon publication, unless otherwise stated.
